Flooring Scheduling Software & Fitter Diary App | BillyBot
Flooring Scheduling Software

Flooring scheduling software that puts the right fitter on the right job

One diary for every fitting, survey and prep day. Billy checks who's actually free before a date is offered, puts each fitter's bookings on their phone, and flags a clash before it costs you a day on site.

14 days free · Fitters always free · Cancel anytime

The diary is where flooring margin leaks

Double-booked fitters, surveys squeezed in, customers chasing dates. None of it shows on the quote, but all of it comes off the margin.

Whiteboard, paper diary, group chat

Days lost before a floor goes down

Two fitters turn up to the same job while another customer waits for a date. A survey lands on the estimator's holiday. Customers ring to ask when you're coming. The fitter reaches site without the customer's number or the notes, so the day starts with phone calls. That's paid time earning nothing.

With BillyBot

One diary the whole firm can trust

Every fitting, survey and prep day sits in one diary. Billy checks bookings, holidays, sick days and the rota before a date is offered. Fitters get their own bookings on their phone with the address, customer and notes, and are notified of changes. You stay in charge of every date.

How BillyBot schedules a flooring job

From the first enquiry to the check-in after the fit. Billy prepares, you decide.

1

Enquiry in, survey offered

When an enquiry email needs a survey, Billy's draft reply offers two or three slots checked against the diary, sent when you approve it. Or tell him “survey for Mrs Patel, Tuesday at 1” and it's booked.

2

Quote accepted, dates offered

When a customer accepts your quote, Billy drafts the email offering three free days from the diary. Swap a date, edit the wording, then send.

3

Booked, assigned, notified

The fitting goes in the diary with the fitters on it. They're notified, the job moves to Fitting booked, and it shows in your Google or Outlook calendar if sync is on.

4

On the day, and after

Fitters open the booking on their phone for the address, Maps, the customer's number and notes. After the visit, Billy asks how it went, and “Visit finished” lets him help with the invoice.

The week, on your phone

This is the BillyBot app's diary running in your browser. When a fitting is booked, whether you add it yourself or ask Billy to, it lands in the week with the fitters on it, and they're notified.

Built around how flooring work gets booked

Not a generic calendar with a flooring logo on it.

One diary for every booking

Fittings, surveys, prep and goods-in together, in month, week or day view, coloured and filtered by fitter or job type.

Fitters told, not rung round

Put one or more fitters on a booking. They get a phone notification when it's booked, moved or cancelled.

Today's work on every phone

Fitters get the iPhone or Android app free, with the address, Maps, customer's number, notes and job. Multi-day fits show Day 2 of 3, and RAMS to sign appear too.

Fitters see only their own work

Fitters see only the bookings they're on, with no quotes, prices, costs or business inbox. You choose how far ahead they can look.

Who's free, checked properly

Ask Billy who's free to fit next week. He checks bookings, time off, the rota, bank holidays and synced calendars, then tells you who's free.

Google and Outlook calendar sync

Bookings appear in your Google or Outlook calendar, and anything already in it counts as busy when Billy looks for a slot.

Rota, holidays and sick days

A rota repeating over one to six weeks shows who's measuring, in the shop or off. Holidays and sick days sit on the diary, and Billy won't offer anyone away.

Clashes flagged before the day

Billy warns you when a fitter is double-booked or booked while off, or an order is due after its fitting. The booking stays put until you decide.

Scheduling built by a flooring business

BillyBot was built by a flooring business, on 20 years of running one: quoting, buying, fitting, hiring and scaling. So the diary works the way flooring does: surveys before quotes, fittings after materials, jobs that run over several days, and fitters who need the address, not access to the whole business.

Scheduling is one part of the AI operator that runs the office side of your flooring business, from first enquiry to final invoice. See how bookings connect to quotes, materials and invoices in our flooring job management software.

Flooring scheduling software: FAQ

Yes. Switch on Calendar Sync for your Gmail or Outlook mailbox and your own bookings, or every booking in the business, appear in that calendar. Anything already in it counts as busy when Billy looks for free slots. Customers are never added as guests, so they get no invites.

Yes. Fitters use the free app and see only the bookings they're assigned to, as far ahead as you allow: today only, one, two or four weeks, a custom number of days, or no limit. They don't see quotes, prices or costs, the business inbox or the Billy chat.

Drag or edit the booking in the web diary. Fitters on a confirmed booking get a notification with the new date and time, and a synced calendar event moves too. Billy's checks follow the new date, so if a fitter is now booked while off, or the order is due after the fitting, he tells you.

Yes. Tell him in chat, for example “book the Oak Avenue carpet fit for Thursday with Dave”. He books it and tells you in one line what he assumed, such as the time. When dates go to a customer, he only offers days the diary shows as free, and the email waits for your approval unless you've switched on auto-send.

Yes. A booking can be a fitting, survey, prep or another visit such as goods-in. For survey slots, Billy checks whoever is doing the survey, you by default or someone you name such as an estimator, against their bookings, time off, rota and connected calendar.

Photograph a page of the paper diary, or the rota on the wall, and send it to Billy. He reads it back, turns the clear bookings, enquiries and call-backs into records, and asks about anything he can't make out. A rota is loaded once you've confirmed it. Then invite your fitters to the free app.

No. Fitters are always free, however many you have. Office seats are £149 per month, excluding VAT, with everything included and no feature tiers. Annual billing saves two months, and every account starts with a 14-day free trial you can cancel anytime.
