Flooring job management software that fills itself in
Most job software is one more form to fill in. BillyBot is the office behind your flooring business: an enquiry email becomes a job, then a quote, a fitting booking, a job sheet and an invoice, all in one place, with you approving what goes out.

The trouble with job software you have to feed
The information already exists. It's just spread across the inbox, the van, a spreadsheet and a WhatsApp group.
Only as good as what gets typed in
An enquiry lands and someone copies it into the system. The quote lives in a spreadsheet, the fitting date in a group chat, the chasing in your head. On a busy week the typing stops, and the record stops being true.
The record builds as the work moves
Billy creates the job from the enquiry, with the customer and site, and drafts the reply for you to approve. The quote, booking, job sheet and invoice all hang off that job, so nobody has to update it.
From first enquiry to final invoice
One job, six stages. What Billy does at each one, and where you step in.
Enquiry becomes a job
An email lands in Gmail or Outlook, website forms included. Billy creates the job, links or creates the customer, files the drawings and photos, and drafts a reply for you to approve.
Survey and measure
Book the survey, then draw the rooms or scan them with Scan & talk on a supported iPhone. Tender drawings by email? Billy measures from the drawings.
Quote on your rates
Billy prices the quote from your own price lists and markups. You check it, then confirm it as a branded PDF or into Xero, Sage or QuickBooks.
Send, chase, win
You approve the email. Quotes show Sent, Viewed or Bounced, and if one goes quiet Billy offers a follow-up draft. Customers accept online or by reply, and the job moves to Won.
Order and fit
The job card prompts you to order materials, then book the fitting. The diary entry fills in from the job and assigned fitters get a notification.
Invoice and get paid
Finished jobs prompt Send invoice. Billy prepares the invoice from the quote; you confirm it into your accounts or as a PDF. Overdue invoices get flagged to chase.
Watch an email become a job
A customer asks for a price on hall and stairs carpet. Billy classifies it as a quote request, creates the job and drafts a reply in your voice, then waits for you to send it or edit it first.
- Customer, site and enquiry saved on the job
- The reply waits for your approval
Everything a flooring job needs, in one place
Built around how flooring work runs: rooms and m², materials, fitters and sign-offs.
A board that shows what's next
From Enquiry to Money, every card shows the customer, the value and the next step, like Book fitting or Send invoice.
A page for every job
Rooms, floor plans, emails, attachments, quotes, invoices, receipts and notes, with who the job is assigned to.
Job sheets fitters can use
Date, crew, access, rooms, prep and materials with no prices, plus QR codes to the RAMS and cutting plan.
Customers that stay linked
Every job links to one customer record, created from the enquiry or imported from Xero, Sage or QuickBooks.
Profit on every job
Revenue, costs, profit and margin from the quote's cost lines, with a warning if the rooms and the quote stop matching.
Access by role
Fitters are free and never see prices or costs. Estimators quote, managers run the office, and only you touch billing.
Nothing left in your head
One list of replies to approve, materials to order, fittings to book and invoices to chase.
Ask about any job
Which carpet did we quote for that lounge? Has it been paid? Billy answers from your records, never from guesswork.
Office, van or site
Web, iPhone and Android. Check the board, approve a reply or send Billy a voice note.
Spreadsheets and WhatsApp vs job software vs BillyBot
The same flooring job, run three ways.
| Task | Spreadsheets + WhatsApp | Generic job software | BillyBot |
|---|---|---|---|
| A new enquiry email | Copy the details across | Type it in as a new job | Job created, reply drafted for you |
| The quote | Built in a spreadsheet | Built from items you've set up | Priced from the rooms on your rates |
| A quote gone quiet | Chased if someone remembers | Relies on reminders you set up | Billy offers to draft a follow-up |
| Fitters' information | Messages and screenshots | Job details in an app | Job sheet and RAMS, no prices |
| Invoicing | Re-typed into the accounts | Raised from what you typed in | Prepared from the quote |
| Finding an old job | Scroll the chat, search the inbox | Search what was entered | Ask Billy |
| Who keeps it up to date | You, after hours | You or the office | Billy, with you approving |
Why an operator beats a system of record
Most job management software is a system of record: a tidy place for information once someone types it in. In most flooring businesses the owner is the office, so the record falls behind exactly when it gets busy.
BillyBot is an operator. Billy does the admin as the work arrives, and the record is what's left behind: the enquiry, rooms, quote, fitting booking, job sheet and invoice, all on one job. Customer emails wait for your approval unless you switch on auto-send, and nothing reaches your accounts until you confirm it.
Because the record builds itself, you can ask it questions months later.
Questions you can ask Billy
- "Which carpet did we quote for the lounge on the Elm Close job?"
- "When's that fitting booked, and who's on it?"
- "Has the customer opened the quote link?"
- "Which finished jobs haven't been invoiced yet?"
BillyBot was built by a flooring business, on 20 years of running one: quoting, buying, fitting, hiring and scaling. Compare it with generic job tools and flooring ERPs in our flooring software comparison, or see what else Billy runs.

Flooring job management software: FAQ
It keeps each flooring job in one place from enquiry to payment: the customer, site, rooms, quote, fitting booking, job sheet and invoice. BillyBot also does the admin that fills those records in, while you control what goes to customers and into your accounts.
Yes, and fitters are always free. The iPhone and Android app shows them their bookings, the jobs they're booked on, job sheets and RAMS, and lets them snap receipts and capture sign-offs. They never see prices, quotes, costs or customer emails.
Yes. BillyBot works with Xero, Sage and QuickBooks, and nothing goes into your accounts until you confirm it. No accounting software? BillyBot creates branded PDF quotes and invoices instead.
If you use Xero, Sage or QuickBooks, import your customers from the Contacts page. Quotes and invoices raised in your accounts package appear read-only on the customer's open job, if they have one. There's no need to re-type old jobs: when one comes up again, Billy can search your connected inbox, including emails from before you signed up.
Not unless you switch on auto-send. By default replies, quotes and invoices wait for your check, nothing reaches Xero, Sage or QuickBooks until you confirm it, and payment links only appear once you've connected card payments.
Yes. Each business can only reach its own data, which is encrypted in transit and at rest. Team members only see what their role allows, we don't sell personal data, and the AI providers we use aren't permitted to train their models on it.
Yes. The iPhone and Android apps let you check the jobs board, approve replies or send Billy a voice note from anywhere. Room scanning with Scan & talk needs a supported iPhone with LiDAR.
